Congress Opportunities Begin Before They Reach the Market

Being present when new projects begin to take shape can create a different kind of competitive advantage in the association congress market.

In the congress market, we are accustomed to thinking about opportunities once they already have a name, a date, an expected number of participants and, perhaps, a procedure for selecting a destination.

At that point, the market is visible.

But often, so is the competition.

Destinations, congress centres and conference hotels tend to mobilise when a congress enters the commercial radar, appears in a database or formally begins searching for a host destination.

But what if the relationship started earlier?

Before the project is fully defined. Before the format of the event has been established. Before destinations formally enter the decision-making process.

It is at this stage that relationships with those who generate congress demand can acquire an entirely different value.

Before the event, there are people

Behind a scientific congress there is not simply an event.

There are scientific societies, associations, universities, institutions and, above all, people who interpret their objectives, identify new needs, develop programmes and make decisions.

Presidents, board members, scientific leaders and institutional representatives do not simply represent congresses that have already been scheduled.

They are also the people from whom new initiatives, educational programmes, collaborations and events can emerge.

This is why the relationship with a decision-maker should not necessarily begin when a request for proposal arrives.

It can begin much earlier.

And this is where congress marketing can take on a different perspective: moving from a succession of commercial actions aimed at acquiring existing events towards an ongoing dialogue with the communities that generate future congress demand.

The Association Days Europe ecosystem

This is the logic behind the evolving model of Association Days Europe.

The annual gathering in Venice is its most visible expression, but it does not define its entire function.

Throughout the year, Association Days Europe develops a relational platform connecting representatives of associations and scientific societies with organisers, institutions, destinations, congress centres and industry operators.

Relationships therefore do not end with the scheduled one-to-one meetings.

They continue.

They deepen.

They bring together expertise from different disciplines.

And they can reveal needs, ideas and projects that did not previously exist — or had not yet found the right environment in which to develop.

This is what we mean by the Association Days Europe ecosystem.

Not simply a community built around an event, but a relational environment in which intelligence, dialogue and business development operate as a continuous process, with the annual gathering providing a moment of synthesis.

When different disciplines begin to talk

The medical and scientific world makes this potential particularly visible.

Traditional congresses naturally bring together communities belonging to the same discipline. That is their purpose.

Association Days Europe creates a different condition: it brings representatives and decision-makers from different scientific societies and disciplines into the same environment.

It is precisely this cross-disciplinary dimension that can bring shared issues to the surface — issues that might find less natural space within a single specialist congress.

Artificial intelligence, robotics, new educational models, simulation, healthcare systems and the evolution of professional training are challenges that increasingly cross disciplinary boundaries.

When people addressing those challenges from different perspectives begin to engage with one another, new projects can emerge.

A concrete example: The Future of Surgical Training

The new International Roundtable The Future of Surgical Training: Equity, Technology and Healthcare Systems, taking place in Venice on 26 February 2027 within Association Days Europe, has developed through precisely this process.

It is not an existing congress that selected Association Days Europe as its venue.

It is a new scientific project developed through relationships and dialogue within the Association Days Europe ecosystem.

The Roundtable will bring together some of the world's leading experts in surgery, medical education, artificial intelligence, robotics, biomedical engineering and healthcare systems, alongside leading international companies and organisations in surgical innovation.

Its purpose is to connect expertise that normally operates in different environments and create a setting in which new collaborations, programmes and scientific activities can develop.

Today, it is an International Roundtable.

Tomorrow, the relationships it generates may lead to other projects.

And that is precisely the point.

What this means for congress operators

For a destination, congress centre or conference hotel, participating in this kind of environment adds another dimension to traditional business development.

Meeting organisations that already have scheduled congresses and concrete future opportunities remains fundamental.

But alongside those opportunities, there is another possibility:

being present while new opportunities are still taking shape.

Knowing the people who are developing them.

Understanding their objectives.

Following the evolution of the project.

Assessing whether your offer could play a role.

This does not mean that every relationship will generate an event, or that every project will become an accessible business opportunity. Intelligence Paper No. 02 of the Congress Intelligence Unit emphasises precisely the need to distinguish general interest from a demonstrable fit between demand, event requirements and the offer of a destination or venue.

But it does mean having the possibility of entering the process before the opportunity becomes simply a competition between alternative proposals.

A different way of thinking about congress marketing

Perhaps this is one of the most interesting evolutions taking place in the market.

Not replacing traditional business development, but anticipating it.

Data help determine where to look. Intelligence helps identify the organisations, activities and opportunities compatible with an offer. Dialogue with decision-makers helps reveal needs and future programmes. Continuous relationships make it possible to follow what is beginning to emerge.

Intelligence Paper No. 02 of the Congress Intelligence Unit examines precisely the progression from market signals to qualified opportunities, highlighting how statistics, research into organisations and an understanding of decision processes should inform commercial investment.

Association Days Europe brings this process into direct relationships.

The annual gathering in Venice therefore becomes neither the beginning nor the end of the process, but the moment when an ecosystem of relationships developed throughout the year comes together, exchanges ideas and has the potential to generate what does not yet exist.

For a congress operator, the question is therefore no longer only:

Which congresses can I win today?

There is another question worth asking:

Where should I be today to meet tomorrow's opportunities?
