Not every congress is your congress

For a destination, congress centre or conference hotel, one of the most expensive mistakes in business development may be targeting demand that was never right for its offer in the first place.

The congress market is not a single market. It is made up of multiple segments, niches and sub-niches, each with different scales, geographical patterns, organisational requirements and decision-making processes.

A major international congress, a specialist scientific meeting, a training programme or a national association event may represent entirely different opportunities.

The strategic question therefore comes before the commercial one:

Which parts of the congress market genuinely fit your destination, venue or hotel — and where should you invest your resources?

Intelligence before business development

Market statistics are essential, but they are only the starting point.

Rankings, event counts and growth indicators can reveal patterns and signal change. They cannot, on their own, establish whether a particular segment represents accessible demand for a particular supplier.

That requires another level of analysis: understanding geographical rotation, event history, scale and requirements, future programmes, decision-making structures and, crucially, the point at which a destination or venue can realistically enter the process.

In a market being reshaped by technology, changing educational models and evolving association priorities, directing resources towards the wrong segment can mean years of ineffective marketing and investment.

The challenge is therefore not simply to identify more opportunities.

It is to identify the right ones.

This is where Association Days Europe begins

At Association Days Europe, business development starts before the meeting takes place.

The selection of participating associations and scientific organisations, the qualification of potential congress opportunities and the construction of one-to-one meetings are supported by research and analysis designed to create relevant dialogue between demand and supply.

The objective is not to place as many appointments as possible into an agenda.

It is to create meetings where there is a reason to meet.

This intelligence activity is supported by the Congress Intelligence Unit (CIU), the research platform developed alongside Association Days Europe to analyse the evolution of association congress demand and translate market evidence into information that can support business development.

Its latest Intelligence Paper No. 02 – From Market Data to Congress Decisions examines precisely this progression: from statistical evidence to the identification of relevant market segments, and from those segments to qualified business opportunities.

Why the source matters

Not all market data answer the same question.

For its analysis of international association demand, CIU uses UIA – Union of International Associations as a principal reference because its information system is centred on the organisations that generate meeting activity and combines statistical resources with information on organisations, congresses and association priorities. Other sources, including ICCA, are used where their evidence is relevant to the specific question being investigated.

This approach is also reflected in the relationship between Association Days Europe and UIA.

Association Days Europe is a UIA Partner for the Survey on International Association Meeting Issues 2026, which is currently gathering the experiences, requirements and perspectives of international associations on the organisation of their meetings and conferences.

The findings will add another perspective to understanding how association demand is evolving — and where new opportunities may emerge.

From meetings to meaningful opportunities

For destinations, congress centres and conference hotels, the competitive advantage may increasingly lie not in approaching more organisations, but in understanding which organisations, which activities and which future projects are worth approaching.

That is the principle behind Association Days Europe.

Because the value of a meeting does not begin when two people sit across the table.

It begins with knowing why they should meet.
