The Untapped Commercial Potential of Scientific Association Leaders

Giancarlo Leporatti
October 2026

Abstract

Scientific association leaders can generate congress business well beyond the event described in a buyer profile. Their scientific responsibilities, professional networks and involvement in emerging initiatives may open opportunities that remain unseen when suppliers assess a contact only through the size and requirements of a declared congress.

This paper examines how destinations, venues, hotels and service providers can recognise and develop those opportunities. Across nine chapters, it explores decision-making influence, project development before the RFP, the economic conditions that make an event feasible, and the role of direct meetings in establishing and renewing useful commercial relationships.

For business owners and sales leaders, it offers a framework for assessing contact potential, preparing teams to contribute to a client’s project and distinguishing long-term relationship development from qualified sales opportunities.

Why this Paper Matters

An attractive destination, a well-equipped venue and competitive rates may secure consideration without giving a scientific leader sufficient reason to proceed.

For destinations, venues, hotels and service providers, commercial advantage depends on understanding what that leader is trying to achieve: which initiatives are taking shape, what is holding them back and which arrangements could make them viable.

This paper helps business owners and sales leaders identify where conventional approaches can leave potential unexplored—and which capabilities their teams need to turn access into qualified business opportunities.

Key Findings

  • The declared event does not define the prospect’s full potential. A scientific leader may contribute to other congresses, educational programmes and international bids.

  • Influence often precedes formal approval. Understanding who develops and advocates a proposal is as important as identifying who authorises the final choice.

  • Business development can begin before the RFP. Suppliers can help emerging initiatives become feasible before a formal enquiry exists.

  • Pricing structure can influence event viability. Per-participant charges, adaptable services and minimum attendance thresholds can reduce the organiser’s exposure while protecting supplier margin.

  • Direct meetings create access that remote communication cannot be assumed to provide. Their commercial value depends on uncovering a relevant need and establishing a useful contribution while the conversation is taking place.

  • Returning contacts deserve a fresh assessment, supported by retained knowledge. New responsibilities and emerging projects may create reasons to meet again, while each opportunity still requires evidence before entering the sales forecast.
